Privacy Policy
Last updated: October 19, 2026
This policy explains what information SwishDone collects, how we use and share it, how long we keep it, and the choices available to you. It applies to our website and platform.
1. Who we are
SwishDone ("SwishDone", "we", "us", or "our") provides lead journey automation software for businesses. This Privacy Policy explains how we collect, use, share, and protect information when you visit our website, request a presentation, create an account, or use the SwishDone platform.
SwishDone is a business-to-business service. Our customers are businesses that use SwishDone to manage their own leads, communications, appointments, and results.
2. Information we collect
We collect information in three ways: information you provide, information created while using the service, and technical information collected automatically.
- Account and workspace information such as your name, email address, business name, role, time zone, and authentication data.
- Contact and request information you submit through forms, including your name, business, email address, phone number, and the message you send us.
- Lead and communication data processed on behalf of a customer, such as contact details, qualification answers, messages, calls, appointments, and outcomes. For this data, the customer is the controller and SwishDone processes it on the customer's instructions.
- Technical information such as IP address, browser and device type, pages viewed, and security or error logs.
- Preferences stored in your browser, such as theme, language, sidebar state, and your cookie choice.
We ask you not to submit sensitive personal information through public forms. If you are a lead contacting a business through a SwishDone booking page, please review that business's own privacy notice.
3. How we use information
- Provide, operate, secure, and improve the SwishDone platform.
- Create and manage accounts, workspaces, permissions, and integrations.
- Run lead qualification, follow-up, scheduling, reminders, and reporting features on behalf of customers.
- Respond to presentation requests, prepare proposals, and provide support.
- Monitor reliability, prevent abuse and fraud, and investigate incidents.
- Comply with legal obligations and enforce our agreements.
- Send service-related messages and, where permitted, product updates you can opt out of.
We do not sell personal information, and we do not use personal information for cross-context behavioral advertising.
4. Legal bases and your choices
Where required by applicable law, we rely on one or more legal bases: performance of a contract, our legitimate interests in operating and securing the service, your consent, and compliance with legal obligations. Where we rely on consent, you may withdraw it at any time.
You can opt out of marketing emails using the unsubscribe link in the message or by contacting us. Service and security messages may still be sent when necessary.
If you are a California resident, you may have the right to know, access, correct, delete, and limit the use of certain personal information, and to opt out of the sale or sharing of personal information. We do not sell or share personal information for cross-context behavioral advertising. To exercise a right, contact us at [email protected]. We will verify your request and respond as required by law.
5. How we share information
We share information only as needed to operate the service:
- Service providers that support hosting, databases, email delivery, security, and support, under contracts that limit their use of the data.
- Integration providers that a customer chooses to connect, such as Meta, Google Calendar, Quo, and an email provider. Those providers process data under their own terms and privacy policies.
- Professional advisers, auditors, or insurers when necessary and under confidentiality obligations.
- Authorities or other parties when required by law, to protect rights and safety, or in connection with a merger, acquisition, or sale of assets.
- Other users in the same customer workspace, according to the roles and permissions the customer configures.
We do not share personal information with third parties for their own advertising.
6. Customer data and responsibilities
When a customer uses SwishDone to manage leads and communications, the customer decides what data to collect, why, and for how long. Customers are responsible for providing required notices, obtaining valid consent, honoring opt-outs, and complying with applicable marketing, calling, and messaging laws, including TCPA and carrier registration requirements where relevant.
We process that data to provide the service, secure it, and follow the customer's documented instructions. If you are a lead and want to access, correct, or delete your information, please contact the business you interacted with.
8. Data retention
We keep account and workspace information for as long as the account is active and for a reasonable period afterward to meet legal, security, and operational needs. Customer content is retained according to the customer's configuration and agreement. We delete or de-identify information when it is no longer needed, unless we are required to keep it.
9. Security
We use administrative, technical, and organizational measures designed to protect information, including encryption in transit, access controls, workspace isolation, and monitoring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please use a strong, unique password and protect your account access.
10. International transfers
We may process information in countries other than your own. Where required, we use appropriate safeguards for international transfers. Integration providers may process data in the regions described in their own policies.
11. Children's privacy
SwishDone is intended for businesses and is not directed to children. We do not knowingly collect personal information from children. If you believe a child provided information to us, contact us and we will take appropriate action.
12. Your rights
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to appeal a decision about a request. To exercise a right, email [email protected]. We may need to verify your identity before acting.
If you are not satisfied with our response, you may contact your local data protection authority or, for California residents, the California Privacy Protection Agency.
13. Changes to this policy
We may update this Privacy Policy as the service changes. We will post the updated version on this page and change the "Last updated" date. If a change is material, we will provide additional notice where appropriate.
